Omni & Non Omni: Bulk Scan & Accept UI - User Guide

Purpose

This document outlines the procedure for using the Bulk Scan & Accept UI feature in Browntape. This feature allows store users to streamline the acceptance of multiple items/orders across Omni channels, making bulk order processing more efficient.

Scope

This document applies to all Browntape users with relevant roles engaged in order picking, acceptance & processing activities, covering both Web UI and Omni Mobile UI functionalities.

 


1. Accessing the Bulk Scan & Accept via Mobile

1.1 Login

  • Go to the Browntape login page: Browntape Login 

  • Enter your credentials to access the dashboard.

1.2 Navigating to Shipping Batches

  • Once logged in, select Shipping Batches from the menu to access the order processing and scanning functionalities.


2. Initiating Batch Creation and Picklist Printing

2.1 Creating Shipping Batches

  • Manual Creation: Choose orders and manually create/add them to shipping batches.

  • Automatic Creation: Enable configuration to include orders in Pending Acceptance status in batch creation.

2.2 Picklist Generation

  • Select one or more batches on the Batches List page.

  • Click Download Picklist to generate a picklist PDF containing the list of all ordered skus, this picklist will show a picklist level barcode for further processing

    • The barcode supports for single as well as multiple batches

2.3 Printing the Picklist

  • Download and print the generated picklist.

3. Bulk Scan & Accept Process

3.1 Starting the Scan & Accept Session (Mobile Omni View)

  • Login to app.browntape.com through your phone

  • Select the Scan Picklist option from the menu to start the scan session. 

  • Scan the printed picklist barcode and click on “Start”

  • In case you scan a wrong barcode, the system will show an error message as “Batch not found, please try different picklist/batch id

  • Post successful scanning of the correct batch barcode, clicking on “Start” will navigate you to the picklist detai view page which will show the item/skus and its quantities to be picked.

    • The pick confirmation can be done either by Scanning or Manually inputting the SKU code or its alias.

3.2 Item Scanning & Acceptance

  • Scan Each Item: Use the barcode scanner or manual entry to record items.

  • Adjust Quantity: Use increment/decrement buttons to adjust item quantity based on stock or scanning requirements.

  • Once the item/skus are scanning, a pop-up will appear to confirm the scanning.

    • This is to avoid issues where user mistakenly scans the same piece barcode multiple times

    • With this option the user can confirm the scanning and update the picked qty.

  • Once the scanning is confirmed, click on “Done”, this action will save the qty against the item.

  • Update Status: Order progresses from Pending Acceptance to Processing or Packing status in real-time once the associated order-items are fully picked.

  • Picking Completion

    • Partial Picking: If order-items are partially picked, yet if you try to close the picking session, the already picked qty information will be saved and you will be navigated to a page which will show you order wise picking status in 4 categories

      • Unpicked: Will show all the orders where no picking has been performed

      • Partially Picked: Will show all the orders where partial picking has been done either on multi-qty item or multi-item orders

      • Picked: Will show the list of all the picked orders

      • Cancelled: Will show the list of all the orders which are cancelled and picking can be reinstated.

  • Complete Picking: Once the picking is fully completed and clicked on “Done”, all the associated orders will be marked as RTS or Shipment will be booked and will be navigated back to main grid page.

3.3 Handling Rejections (Partial/Complete)

  • The UI for handling the rejections is same as the current Omni UI, once the user clicks on the specific order, this will be shown

  • Partial Rejection: If allowed by channel settings, reject items partially and specify rejection reasons.

    • This view can be accessed from the Partially Picked or Unpicked tabs as show above, where user can take the actions such as partially rejecting the order-items with specific rejection reasons.

  • Complete Rejection: For channels not supporting partial rejections, reject the entire order with a reason.

    • This view can be accessed from the Partially Picked or Unpicked tabs as show above, where user can take the actions such as partially rejecting the order-items with specific rejection reasons.

3.4 Completing the Session

  • Fully Picked: Marks the orders as Ready to Ship (RTS) if the order is fully picked and accepted.

  • Partial Picked Warning: If picking is incomplete, a warning will prompt users about potential SLA breaches. Users can choose to proceed or return to complete picking or reject the order-items and close the scanning session

  • Yes: Will close the scanning session and update the associated orders in the session as RTS or Unpicked. Navigates back to the main menu grid page.

  • No: Will retain the current session, allowing the user to complete the scanning or reject the orders.


4. Key Functional Elements

4.1 Scan & Accept UI (Mobile)

  • Scan Mode: Allows bulk scanning of items with instant status updates.

  • Manual Input: For cases where barcodes are damaged or unavailable, manual entry is provided.

  • Item Details Display: Each scanned item’s details are shown, including order reference, channel, and dispatch details.

4.2 Batch Selection and Status Indicators

  • Multi-Batch Selection: Users can choose shipping batches by scanning or manually selecting from available options.

  • Shipping Batch Picking Status: Displays indicators (e.g., Unpicked, Partially Picked, Fully Picked) based on item scanning progress.

4.3 Error Handling

  • Invalid barcodes, incomplete scans, or rejected items will trigger alerts, allowing users to retry or confirm as necessary.


Error Resolution

  • If issues arise during scanning, users can retry the scan or contact support if issues persist.
